2-Step Verification
Enrolling in Multi-Factor Authentication
Effective June 20, 2023, there is a new prerequisite for cyber security from our insurance provider, the Trust. Fowler Elementary School District will be requiring all district employee Google accounts to enroll in an extra layer of security called 2-Step Verification. (This won’t be enforced for student accounts.)
2-Step Verification will make it more difficult for unauthorized individuals to access your accounts, even if they somehow obtain or guess your password. By requiring a second factor, such as a unique code or your physical presence, adds an additional layer of security. The typical process of two-step verification involves the following steps:
Step 1: Username and Password
You start by entering your username or email address and your password, as you normally would when logging into an account.
Step 2: Second Verification Factor
After providing your username and password, you are prompted to provide a second verification factor. This factor can be one of the following:
- Voice call – via desk or mobile phone
- Text confirmation – via mobile phone
- On-screen Google prompt – via mobile phone
- Google mobile app – via mobile phone
Once you provide the second verification factor and your identity is authenticated you gain
access to your account.
How to Enroll
- Using the Google Chrome browser, visit the 2-Step Verification website.
- Select “Get Started”.
- Please enter your phone number and select which of the two main ways you want to get codes: text message or phone call. If choosing a phone call, you can use a district desk phone number if you have access to one.
- After entering your phone number you’ll be asked to verify the code delivered to it (either via recorded audio message to a desk phone, or via text to a mobile phone). If the code starts with “G-“, you’ll only need to enter the number that follows.
- Click “Turn On”. Be sure you complete the final step to enable the two-step verification.
Congratulations! You’ve completed your 2-Step Verification!
Fax with RingCentral
Sending a Fax from RingCentral Desktop & Web App
You can send a fax from anywhere in the RingCentral desktop or web app by selecting the “New actions” (+) button in the upper right corner, then selecting “Send new fax”.
You can also:
- Click “Fax” in the navigation bar.
- Click the “Send new fax” icon in the left panel.
- In the pop-up window, enter your contacts’ phone numbers or names in the “To” field. You can send a fax to up to 50 recipients at a time. To add more than 50 recipients, enable fax broadcasting.
You can also send a fax from a contact:
- In the navigation bar, click “Contacts”.
- Hover over a contact’s name, then click the “Fax” icon. You may need to click the three-dot “More” icon first.
Selecting a Cover Page
In the Cover page dropdown, select a style for your cover page or click “Add cover page” to choose a template from your computer. If you don’t want to use a cover page, select “None”. To add a custom cover page:
- Click “Add cover page”.
- Enter a name for your cover page in the “Cover page name” field.
- Drag and drop a file into the window or click anywhere in the window to locate and upload a file from your computer. You can also click “sample.docx” to customize and upload a new cover page.
- Click “Save”. Cover pages will be saved for later use.
- If using a cover page, you can add additional information in the “Notes” field.

Attaching Files
To attach files to your fax, click the paperclip “Attach” icon, and select the files from your computer, or drag and drop them into the window. All file attachments must be in supported formats and less than 50 MB.
Send Later
To send the fax immediately, click “Send now”. To send the fax at a future time, click “Send later”, enter a date and time, and select “Schedule”.
Send a Fax from the Print Screen
You can fax any document or web page directly from the print screen by adding RingCentral Fax to your list of printers. This feature is only available for Windows PCs.
Installing the Print-to-Fax Plugin
- Go to “Settings”.
- Click “Phone” to open your phone settings.
- In the Fax section, click “Install” next to “Print-to-fax”.
Sending Documents or Web Pages
- Open the document or web page you want to attach to a fax.
- Click “Print” or press Ctrl + P.
- Select “RingCentral Fax” from the printer dropdown in the print window.
- Click “Print”. The RingCentral app will open a new fax page with the document attached.
- Enter phone numbers or names from your contacts list in the “To” field.
Cover Page
Select a cover page style or click “Add cover page” to select a template. If you don’t want to use a cover page, select “None”. You can also add more information in the “Notes” field.
Schedule Send
To send the fax immediately, click “Send now”. To send the fax at a future time, select “Send later”, enter a date and time, and select “Schedule”.
Check Status
To check the status of your sent faxes, go to “Fax”, then “Sent” or “All faxes”. Fax status options are “Unread”, “Sent”, “Received”, or “Failed”.
Faxing Scanned Documents
The RingCentral app allows you to send scanned documents by fax when you scan documents directly from the “Fax” screen. Before using this feature, ensure your scanner has the most current driver and software installed. The app will automatically detect and connect to the scanner. Refer to your scanner’s manual for more information.
Selecting Your Scanner
- Go to “Settings”, then click “Phone” to open your phone settings.
- Scroll down to the “Fax” section.
- Select your scanner from the dropdown next to “Scan to fax”. Note: If your scanner is off, the dropdown will be grayed out.
- Set up your scanner settings: paper source, file type, and invert colors. After setup, when you send a new fax, you’ll have the option to “Scan” in the “New fax” window.
Faxing Scanned Documents
- Click the “New actions (+)” icon in the top-right corner.
- Click “Send new fax”.
- Click “Scan” to scan and send attachments.
- Enter the phone numbers or names from your contacts list in the “To” field.
Cover Page
Select a “Cover page” style or click “Add cover page” to select a template. If you don’t want to use a cover page, select “None”. Add additional information in the “Notes” field.
Schedule Send
To send the fax immediately, click “Send now”. To send the fax at a future time:
a. Click “Send later”.
b. Enter a date and time.
c. Click “Schedule”.
Check Status
To check the status of your sent faxes, select “Fax” and “Sent” or “All faxes”. Fax status options are “Unread”, “Sent”, “Received”, or “Failed”.
TeamViwer
Locate Your TeamViwer ID & Password
- Click on the TeamViewer app in your taskbar/system tray. If you do not see TeamViewer in your taskbar or system tray, it is likely that TeamViewer was not installed on your computer. You will need to alert IT so they can install it, allowing for quicker troubleshooting of technology needs in the future.
- Note the section that shows “Your ID” and “Password”. Provide these two items when you submit a technology ticket or when a member of the Fowler District Technology Department requests them.
